Definition


Employee referral is an internal recruitment method employed by organizations to identify potential candidates from their existing social networks.


Objective


The purpose of this document is to set the guidelines, process & procedures on Employee Referrals for Sutherland in the Philippines.


Scope


  • This policy is applicable to all active employees of Sutherland including its subsidiaries in the Philippines.
  • There are no restrictions on who can be referred.
  • Employees at level L1 to L6 will be eligible for referral payout subject to not being directly associated with hiring process.
  • The guidelines defined here are applicable throughout the year.
  • Ex–employees can also be referred under this program:
  • For frontline/ associate referral hires, the corresponding referral payout is subject to approval by the Program Head. Information pertaining to payout applicability will be mentioned in the promo released for the referral.
  • All leadership & support referrals will be paid referral.
  • Top-up seasonal schemes may also be introduced on a need basis post management approval.
  • The Talent Acquisition (TA) Department is responsible for the compliance and implementation of this policy.
  • TA Team reserve the right to evaluate program eligibility on a case-by-case basis.

Process Flow


  • Employee uses the SmartRecruiters (SR) portal for submission of referrals. On referring a candidate on SR, the employee will receive a system generated email confirmation. For further updates on the referral, employees can check the same on SR portal.
  • The referral gets tagged with the date & time in Smart Recruiters portal The referral will automatically route to the concerned Recruitment Lead for action.
  • The referred candidates who successfully complete the interview process will be hired to become a part of our organization.
  • Eligible payout details will be consolidated twice a month and shared with GHRS for validating inputs with PeopleSoft (PS) & with GFSS to process subsequent payout.
  • Referral payments happen via payroll.


How to refer a candidate


Employees intending to refer a candidate for being hired with Sutherland can go to the site given below:

  • Go to Referral Portal using the link bit.ly/Sutherland-refer
  • Click on the link to begin searching for jobs and making referrals
  • Click on the tab ‘Refer a Friend’
  • Fill all the necessary information in the pop-up and upload resume of your referral and click on ‘save’.


Referral Bonus


  • The referring employee should ensure that all the information about the candidate being referred is correct (experience / qualification etc); wrong / manipulated information about the referred candidate shall disqualify the employee from all future referral scheme.
  • In case of a candidate being referred by more than one referring employee, TA will ensure appropriate checks are in place to link one candidate with one referring employee.
  • Once the referred candidate joins Sutherland, the referring employee becomes eligible to receive referral bonus/ referral incentive in the subsequent months in line with the amount communicated as part of the referral promo.
  • The amount corresponding to each referral bonus/ referral incentive is subject to the role & position for which the referral has been release and subject to approval from the TA Leaders at level L6 & above.


Exclusions/ Non-Eligibility


  • Employee(s) will not be eligible for payment of referral amount if he/she is a member of the selection panel/process or decision process.
  • Employee(s) are not eligible to receive the referral amount if the referred individual’s resume has been received by HR from a recruitment agency or from any other source prior to submission by the referring employee.
  • In case of any disputes, TA Department’s verdict shall be final and binding.
  • There shall also be special referral schemes announced from time to time & applicable for the specified period only.
  • Should a new employee reach their 120-day milestone with no referee identified, the employee will be classified, NON-REFERRED EMPLOYEE, and is no longer eligible to be claimed as a referral.
  • Retro-active referrals will not be considered for payment.
  • All Sutherland employees are entitled to participate in the Employee Referral Program; however those who have influence over the hiring process including Human Resources, Talent Acquisition and Hiring Managers and all employees at level L7 & above will not be eligible for payment of referral bonus/ referral incentives.


Payout Procedure


The payment of referral bonus is generally applicable in line with the procedure defined below. However, in cases of special business requirement indicated by the program leaders, unique payout procedure will be designed on a case by case basis. Such arrangement will be communicated via the referral promo released.


For Frontline/ Associate Referrals:

  • Referral amount shall be paid in three installments. Once the referred candidate joins the organization, the referrer is eligible to receive the referral bonus in the following manner:
  • 25% of referral bonus on completion of 30 days of date of joining.
  • 25% of referral bonus on completion of 60 days from date of joining.
  • 50% of referral bonus on completion of 90 days from date of joining.
  • Both the referrer and the referee should be on the rolls of the organization on the date of disbursement.


For Leadership & Support Referrals:

  • Referral amount shall be paid in two installments. Once the referred candidate joins the organization, the referrer is eligible to receive the referral bonus in the following manner:
  • 50% of referral bonus on completion of 60 days from date of joining.
  • 50% of referral bonus on completion of 90 days from date of joining.
  • Both the referrer and the referee should be on the rolls of the organization on the date of disbursement.
