Introduction 


Employee Referral Scheme is a highly dependable recruitment channel used by Sutherland Global Services (SGS) and its entities (includes SHS, AGS & SMSI) to identify potential candidates from our existing employees’ social networks. It is a key source for our Talent Acquisition Team to cater to the constant manpower requirements for various businesses within SGS and its entities within India.


Recognizing the contributions employees make to our referral program helps strengthen 

relationships and foster employee engagement and sense of belongingness. 


Objective 


The objective of this policy is to set the guidelines, processes & procedures to fulfill the recruitment needs for support and leadership roles through Employee Referrals for SGS and its entities in India. 


Scope 

  • The policy is effective from 3rd Jul 2020. 
  • Ex–employees can also be referred under this program.
  • Top-up seasonal schemes may also be introduced from time to time post management approvals. 


Ownership 

  • Digital Recruitment - Employee Referral Team is responsible for compliance and implementation of this policy. 
  • Digital Recruitment Team reserves the right to evaluate program eligibility on a case-to-case basis. 


Eligibility 

All active and full-time employees of Sutherland and its entities in India are eligible to refer candidates under the referral scheme. 


Employee Referral Process 

  • Employee uploads the updated profile of the referral(s) to Smashfly/Taleo portal and receives an acknowledgement of the receipt of the same. 
  • The date on which the profile is uploaded on SmashFly/Taleo is considered as the ‘Initial Submission Date’. 
  • Digital Recruitment team shall connect with the qualified candidate.
  • The candidates who successfully complete the interview process will be hired by the organization based on relevant open requisition being available.   
  • On completion of the hiring process or logical conclusion of the process [Selection/Rejection/ON HOLD], the status on the respective candidate(s), will be available to the employee on referral portal.



Referral Bonus 

Payout Procedure

  • Referral bonus will be paid out to the Referrer at the end of 90 days from the date of joining of the candidate.
  • Referrer is eligible to receive 100% payout as per the level & band (mentioned in the tabular format above) in the subsequent month’s salary.
  • If the referral completes 90 days post 16th of a month, the payout for the same shall be processed in the referrer’s subsequent month’s salary.
  • Eligible payouts will be consolidated during the second week of every month and submitted for payout post validation. 
  • Referrers can reach out to the DIGITAL RECRUITMENT Head Employee Referrals Team.


Exclusions/Non-Eligibility 

  • Referrer should ensure that all the information about the candidate being referred is correct (experience/qualification etc.); wrong/manipulated information about the referred candidate shall disqualify the employee from all future referral scheme(s).
  • Referrer & the Referral should be on active rolls & not on notice period to be eligible for the bonus pay out. 
  • Referrer will not be eligible for payment of referral amount if he/she is a member of the Selection Process / Panel, Decision Process. 
  • Referrer will not be eligible for payment of the referral amount if the hire is for the same team as them or happen to be their direct/indirect reporting lines.
  • Referrer is not eligible to receive the referral amount if the referred individual’s resume has been received by Digital Recruitment Team from a recruitment agency or from any other source prior to submission by the referring employee.
  • There shall also be top up, seasonal referral schemes announced from time to time applicable for the specified period. 
  • HR / Talent Acquisition / Digital Recruitment Team / Director/Assistant Vice Presidents and above shall not be eligible for the Referral Payout under this policy. 


Guidelines 

  • Both referrer and referral should be active employees of Sutherland and its entities at the time of releasing the referral bonus.
  • Profile received from an employee shall remain active as his/her referral for 1 year from the date of submission provided referred candidate is not confirmed for an active requisition.
  • There will be no restrictions on who can be referred as long as they fit per standard employment guidelines.
  • Name of the referrer will be communicated to the candidate during the initial screening.
  • If a candidate has been referred by more than one source (which can also include placement agencies/other sources), the bonus will be awarded to the first referring source determined as per email date. - It should be as per Smashfly timestamp 
  • Final recruiting decision on referred candidates’ rests with the Digital Recruitment Leads and will not be disputable.
  • In case of any disputes regarding the source, the final decision rest with the Head – Digital Recruitment, India or India HR Head.
