The REFER Policy is used to outline the guidelines for the Employee Referral Program of Sutherland Latin America. (Colombia and Mexico).


The REFER program is geared toward incentivizing and rewarding our employees to REFER within their work peer group and to support our programs globally. The program is designed to reward employees for helping us engage new candidates. 


Qualifications


Only active Sutherland employees are eligible for applicable rewards when they REFER.


How REFER Works


A cash bonus will be paid to active Sutherland employees who REFER qualified external applicants who are hired into the company, follow all the steps to REFER properly, and reach their milestone dates.


All Referral Bonuses are paid out in the paycheck following the pay period during which the referred employee meets their milestone employment date(s). All milestone dates are based on the referred employee’s start date and its period will be announced for every referral contest and/or publication. 


GLOSSARY


  1. Referrer: Sutherland employee who submits someone as a candidate, also known as a sponsor.
  2. Referral/Referred: The person to be considered as a candidate.
  3. Milestones: The completion of the time required to receive the bonus. These milestone date/s depend on the hiring requirement and season. 


The REFER Process


  1. All referrals must be submitted through the referral form on the refer portal or the authorized/official channelsbefore the referred applicant completes the hiring form/application.

  2. Once the referrer successfully submits the referral, it can be viewed on the refer portal. This only confirms successful submission in the system and not bonus eligibility.

  3. All referred candidates will be processed by the Talent Acquisition Team. Referred candidates must mention the name of the Employee who referred them during the interviews.

  4. Successful referrals will be reviewed based on bonus eligibility mechanics. Bonus incentives will be paid out following the payroll period process based on specified milestone dates designated to each.

  5. Should a new employee reach their milestone with no referrer identified, the new employee will be classified as a NON-REFERRED EMPLOYEE and is no longer eligible to be claimed as a referral. Retroactive referrals will not be considered for payment. All referrals must be documented and acknowledged by the REFER Team to be eligible for payment.


Terms and Conditions


1.The Referral Program is open to all employees of Sutherland. Only excludes employees involved in the selection process (i.e. talent acquisition team, hiring manager, interviewers, etc).

1.1 Sutherland employees may refer anyone to the Company regardless of their personal relationship with the applicant. *See 1.3

1.2 Sutherland employees cannot introduce themselves as “RECRUITER” or any other recruitment position.

1.3 Referrals must declare they know their sponsor or are aware of the source of connection with the company. If the referral mentions it is not of their knowledge where Sutherland got their information from, the referral will not be valid. 

1.4 Referrals must have the Minimum Skills required to be processed as candidates, otherwise will not be valid.

1.5 Sponsors are not able to use the brand image, logos, company name, or names of clients, to massively spread information without authorization and capture personal information using massive communication tools and advertising. E.g. Google Forms, text messages, social media publications, cold calls, automated voice messages, advertising, etc. 


1.6 Sponsors are not authorized to use third-party entities to capture candidates’ personal data. E.g. Recruitment agencies, Facebook Pages, Websites, etc.


Note: 

Failure to comply with any of the items above may result in ineligibility to participate in the referral program and may trigger disciplinary actions.

2. Applicants who have worked for Sutherland at any time in the past are considered rehires and do not qualify the referrer for a referral bonus. 

2.1 Exceptions for rehires - Any REHIRED/Winback Referrals promo will be only valid if it’s communicated by the REFER team in advance and only would be applicable for Sutherland Employees (Sponsors) of L1 and L2. Any other level would not be eligible to participate.


3. Referrers must complete the Referral Form on the refer portal accurately and in its entirety. Incomplete forms will not be processed for payment and inaccurate forms may cause payment delays.


4. Successful referral submission through the refer portal must be accomplished to qualify for the referral bonus.


5. All referrals are valid for six months. After six months, a referral must be resubmitted to qualify for the bonus.

6. If a referred candidate was previously submitted as a referral and has completed their application in the system, the applicant must have at least six months of inactivity to be qualified as a new referral.

7.
If two or more employees refer the same applicant, the Referral Form received first or the name that the referral provided to TA will qualify for the bonus payout. The source of hiring of the candidate hired will be validated from the first data entry to the system done by the candidate. TA will ask in the interview process for the name of the Employee who referred the candidate and will document it. See 1.3

8. Obtaining the bonus by irregular methods will cause 
disciplinary actions.

9. Both the referring employee and the referred applicant must be actively employed on the milestone date(s) for the referral to qualify for the bonus. Breaks in employment (resignation, any sort of Leave of Absence, or bench) during the qualifying period will void eligibility.

10. Referrals will be validated during the interview process to ensure eligibility and accuracy. The referred candidates must confirm that they have been referred by the employee tagged in the system. Non-confirmation of the candidate will disqualify the referral endorsement.

11. All Sutherland employees are eligible for referral bonuses except for those who influence the hiring process; Human Resources, Talent Acquisition, and Hiring Managers.

12. The standard referral bonus will be paid in cash on the paycheck following the pay period during which your referral achieves completion of their milestone. The Talent Acquisition team may create promotions with a higher referral incentive and identify a different set of milestone date/s depending on the hiring requirement and season.

12.1 For Colombia Only: The sponsor must fill out a PAYROLL form via DocQ within the time frame stated by the Refer team depending on the payroll cycle cut-off day to get the payment. All bonuses paid as part of the Referral program are discretionary in nature and are not part of recipient’s salary.


13. For the purposes of this policy, the term ‘start date’ will specifically refer to an employee’s first day of work and not the date an applicant accepts an offer of employment.

14. The 15-day policy establishes that sponsors have a limited period of 15 days to claim their referral and ensure it is registered under their name. This involves uploading the relevant information to the corresponding platform and ensuring that related documents are properly submitted to the REFER authorized channels.
